We are delighted to announce Audit Management 360, an enhanced version of the existing X社区 Audit Management Solution.

The solution is relevant to food manufacturers and distributors of all sizes and will help them to simplify their audit processes and securely report findings.

For the first time, the solution will enable native offline functionality, allowing users to complete audits anywhere, and upload the results later, using our new mobile app.

What is Audit Management 360?

Audit Management is a new solution designed for stakeholders across the supply chain at all levels who are involved in the audit process.

At its core, the solution is designed to assist Quality, Compliance and Technical Managers that the full FSMS already caters for, but will provide them the option of priming management to transition to a full digital solution at a lower entry cost point and with minimal demand on resources.

We are pleased to announce the latest enhancement to the platform now means users can conduct vertical audits of products and materials within seconds.

Traceability exercises and audits are an important component of GFSI audits which require food businesses to show full oversight of all products and materials through all stages of processing and dispatch, both forwards and backward.

Conducting these track and trace exercises is often a time-consuming activity and requires significant resources from the food business.

Typically these records are maintained in binders or folders which quickly accumulate and sourcing can take hours, if not days, depending on the efficiency of the record-keeping system in place and the resources dedicated to the task.

During a GFSI audit, the time available to produce these records is limited before a nonconformance is received, for example, the BRCGS allows a maximum of 4 hours to complete this action.

When internal audits are being conducted, this means time is spent on an activity that is non-value adding and could be applied elsewhere within the organization for a greater benefit.

We are pleased to reveal the latest enhancement to our solution is now available and resolves all of the above issues with no additional work required from users.

 

What has changed?

The new vertical audit reports leverage the power of the X社区掳 system and allow these actions to be complete within a matter of seconds.

This means food businesses can now access and retrieve all product and material data and demonstrate GFSI compliance 24/7 with no disruption or additional burden to their workload.

Users just simply select the product or material they wish to retrieve records for and define the period they wish to assess and the X社区掳 platform will do the rest.

If required, users can also further filter or search by batch number as well.

Once the search criteria is defined, simply press search and the search results will be returned to you, with the full vertical audit completing within a matter of seconds.

The returned relevant records in your search can then be opened and reviewed in real-time with all corresponding and supporting information attached, demonstrating complete oversight of your facility at all times.

What do I need to change?

Users will need to make no adjustments or changes to receive this upgrade.

The new vertical audit features are now live within the platform and are available to all X社区掳 users.

One of the biggest issues most food companies have is what to do with the massive amounts of data that they collect from their food safety management systems.

For many, much of this data is collected in the form of paper and excel.

In an average hour of operations, they must capture a copious amount of information and data to simply demonstrate compliance to relevant and interested parties as a pre-requisite to doing business in their sector.

Beyond this, each certification and regulatory standard requires that this data is analyzed and聽reported on to varying degrees.

Meeting these requirements typically results in a series of tasks which create a demand on internal resources, much of which is non-value adding.

Within X社区掳 the聽 Monitoring module is where the majority of compliance data is generated and captured.

This makes it the most heavily used part of our solution, but over the years, changes in food safety standards and legislation, as well as the internal demands of food businesses to gain improvement have required us to reconsider its functionality and capabilities.

To answer these requests, we have spent the last 12 months re-building this module to meet these emerging needs.

Now, we are delighted to announce Monitoring 2.0, a significant upgrade to the monitoring module which gives users an extensive suite of new data capturing聽and analytical features, which dramatically reduce the time people need to spend on figuring out聽what is in their data.

Why are these updates important?

Directly measuring a hazard is often not possible, or too impractical, to appropriately determine in many food manufacturing environments.

With this accepted, the next most effective way to ensure quality of product is to focus on the 鈥榢nown knowns鈥, i.e., the parameters that can be established and monitored to assist in driving quality.

For food safety purposes, Monitoring can defined as the act of conducting a planned sequence of observations or measurements of control parameters.

These control parameters are secondary parameters such as temperature that can be interpreted in conjunction with the principles of HACCP to check that systems are achieving control, and equally as important, to check when they are not.

Without the ability to properly assess and analyze outputs in relation to the parameters of the system, food safety management risks becoming speculative and losing effectiveness.

In these instances, atrophy can enter the system as output scales with resources being ill spent or misappropriated and resulting in learnings going undetected.

Put more simply, monitoring is a required step to measure and collect data in relation to processing parameters, which can be used for continuous development and optimization of systems.

What is in the new update?

Starting from the new Monitoring Dashboard, these updates bring the full power of the proprietary Business Intelligence platform within X社区掳, StatusBI to the Monitoring module.

From a high level, users can now immediately see and share Status summaries for Compliance and Risk.

These present a summary of all current data in the monitoring system to let the user know whether they are doing what they are supposed to do, and secondly, if there are any open monitoring records in the system which may be increasing risk.

From these, users can drill down to the root causes that drive these results, and take appropriate actions or closeout tasks as required while saving time and resources.

The other elements that users now have access to are several new Dashlets which present the most important activity data relating to monitoring records.

This means you can now see in a clear and intuitive way information on the number of monitoring records which are Open or Overdue, as well as viewing by Activity, Stage, Result, and Statistical Process Control results to instantly showcase compliance with the requirements for Process Controls in SQF Edition 8.1.

Dashboards

Intrinsic to this update are refinements to the user interface.

These enhancements deliver a better user experience and allow for more customization and control over what data is displayed and retrieved from Monitoring activities.

This includes advanced options to customize columns with filters, search, indexing via pagination, adding, or removing depending on user needs.

In addition to this, pre-existing Statistical Process Control functionality in X社区掳 is now brought to the forefront of the module so that it can be more easily viewed.

As W. Edwards Deming, the father of SPC, once remarked, 鈥渦ncontrolled variation is the enemy of quality鈥.

To further drive these quality improvements, SPC analysis of all tests and processes are now automatically summarized and updated in real-time in a dedicated dashboard which highlights all tests which are out of control zones and showcases Out Of Control Status.

These results demonstrate Program and Test results in a simple and intuitive grid, which can be easily sorted and provides enhanced search for deeper analysis.

Interim guidance from the Food and Agriculture Organization of the United Nations and the World Health Organization to mitigate the spread of COVID-19 in food manufacturing facilities is now available to all X社区掳 users as a free-to-access checklist.

Unlike other industries, it may not be possible for many involved in food manufacturing to work remotely given the nature of their operations.

However, ensuring the safety of personnel in the supply chain is paramount to helping maintain the integrity of the food chain as it works under unprecedented challenges.

There is now an urgent requirement for food manufacturers to demonstrate operational processes comply with social protection measures in order to best protect workers from the risk of contracting COVID-19.

The World Health Organization guidance for food businesses offers advice and measures that food businesses (both retail and manufacturing) can implement in support of existing food safety best practices to ensure the integrity of the food chain is maintained at all stages.

Caveats to the guidance

Although it is highly unlikely that COVID-19 can be contracted from food or food packaging, the guidance acknowledges that precautionary steps need to be taken within manufacturing environments as the virus may remain viable on surfaces for differing lengths of time.
